This Privacy Policy describes how Salloq Software, LLC ("we," "us," or "Cascade Mail") collects, uses, and protects information in connection with the Cascade Mail email service platform ("Service"). Cascade Mail operates as an email service provider (ESP) that enables businesses to send transactional and marketing email communications to their subscribers.

By using our Service, you agree to the collection and use of information as described in this policy. We are committed to safeguarding your data and the data of your email subscribers.

Information We Collect

Account Information

When you create a Cascade Mail account, we collect your name, email address, company name, billing address, and payment information. This information is necessary to provision your account, process payments, and communicate with you about the Service.

Sending Data

We process email content, sender addresses, recipient addresses, subject lines, and message metadata in order to deliver email on your behalf. This includes SMTP transaction logs, delivery receipts, bounce data, and engagement events (opens, clicks, unsubscribes).

Subscriber Lists

You may upload or manage subscriber lists containing email addresses and associated data fields. You are the data controller for your subscriber data; Cascade Mail acts as a data processor on your behalf.

Usage and Analytics

We automatically collect technical information including IP addresses, browser type, pages visited, API call logs, and feature usage patterns to operate, maintain, and improve the Service.

How We Use Information

We use collected information to operate and deliver the Service, including email transmission, delivery optimization, bounce processing, and analytics reporting. We also use information to enforce our Acceptable Use Policy, detect and prevent abuse or spam, provide customer support, generate aggregate analytics and deliverability insights, comply with legal obligations, and communicate important service updates.

Important: We do not sell, rent, or trade your personal information or your subscribers' data to third parties for their marketing purposes.

Data Sharing

We share information only in limited circumstances: with infrastructure providers necessary to deliver email (such as upstream MTAs and DNS providers), with payment processors to handle billing, with law enforcement when required by valid legal process, and with service providers who assist in operating the platform under strict contractual data protection obligations.

All third-party service providers are bound by data processing agreements that restrict their use of your data to the specific services they provide to us.

Data Retention

Account information is retained for the duration of your active account and for a reasonable period thereafter to comply with legal obligations. Email delivery logs, including SMTP transaction data, are retained for 90 days. Engagement event data (opens, clicks) is retained for the duration of your account. You may request deletion of your data at any time, subject to our legal retention requirements.

Subscriber Data

You retain full ownership and control of the subscriber data you provide to Cascade Mail. We process this data solely on your behalf and according to your instructions. We do not access, use, or share your subscriber data except as necessary to provide the Service, comply with law, or enforce our policies against abuse.

Upon account termination, subscriber data is deleted within 30 days unless a longer retention period is required by law or you request an export.

Cookies & Tracking

Our web application uses essential cookies for session management and authentication. We use analytics cookies to understand how users interact with the Service. We do not use third-party advertising cookies. Tracking pixels in delivered emails are used to measure open rates, and link redirects are used to measure click rates, on behalf of our customers.

Security

We implement industry-standard technical and organizational security measures to protect data against unauthorized access, alteration, disclosure, or destruction. These measures include TLS encryption for data in transit, encryption at rest for sensitive data, DKIM and SPF authentication for outbound email, access controls and audit logging, and regular security assessments. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, or delete your personal data, to data portability, to restrict or object to certain processing activities, and to withdraw consent at any time where processing is based on consent. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child, we will take steps to delete it promptly.

Policy Changes

We may update this Privacy Policy from time to time. Material changes will be communicated via email or a prominent notice within the Service at least 30 days before taking effect. Continued use of the Service after changes become effective constitutes acceptance of the updated policy.
